Events with the DCP
From summer concerts and movies to winter skating events and everything in between, the DCP takes pride in providing events that bring the Summit community together.
Through the generosity of corporate partners and partner organizations, the DCP is able to host year-round events, many of which have gone on to receive awards and recognition from NJ Recreation and Parks and other reputable associations.

Please note that all City of Summit events are considered to be smoke, alcohol and drug free.
Additionally, any photographs taken by DCP staff at any event may be used for publicity purposes.

Event Planning Advisory Group Guidelines
Purpose: The purpose of any event planning advisory group is to:
- Provide input to the Department of Community Programs (DCP) staff regarding entertainment, food trucks, speakers, and activities to take place at the various special events held by the DCP/City of Summit.
- Advise on elements of the event that should be incorporated to maintain historical and cultural relevance.
- Assist in the promotion and recruitment of sponsorship for the event.
- Ensure that the event is a celebration of Summit’s diverse populations.
All volunteers, up to six, must apply annually for a one-year appointment through Civic Rec. The DCP Advisory Board shall make the selection of members per event to serve on the advisory group.
Each event will have a DCP Advisory Board Member assigned to each advisory group. The Community Programs Parking Services Chair shall serve as an additional liaison to this advisory group, as the program will need to be approved by the CPPS committee.
There shall be a very clear understanding that these events are DCP/COS events and final decisions regarding all event aspects shall be made by City of Summit Staff. These advisory groups are strictly advisory in nature.

PLANNING COMMITTEE MEMBERS:
Planning advisory groups priority will be given to City of Summit. Groups and organizations may become sponsors of these events.
At no point should members of the advisory groups represent that they are acting on behalf of the City of Summit. Suggestions for vendors may be given; however, any request for written proposals, quotes, and pricing must be done by the Department of Community Programs.
PRESS AND PUBLICITY: All press and publicity shall come out of the City of Summit Communications office. Working with the DCP staff, a flyer and press release will be made available for planning advisory group to review annually.
MEETINGS: Meetings shall be held according to the below schedule with the following objectives.
- November/December – The advisory group will provide suggestions for the DCP to identify the date, time, and location of the event for the following year.
- January – The advisory group will be provided with the sponsorship information and vendor information for the planning of the year’s event. Discussion of proposed revisions. A request will be made for advisory group members to provide entertainment/vendor suggestions via email to the DCP before the next meeting.
- February – The advisory group shall review entertainment proposals that are submitted to the Department of Community Programs and provide feedback.
- March – The DCP will present decisions on entertainment and vendors. A review of the press release and flyer will be completed by the planning committee.
- One month prior to the event – The advisory group will meet to review the DCP’s proposed event schedule and run of show.
SPEAKERS:
- MC: The event MCing shall be done by DCP staff. DCP staff may introduce planning advisory group members to introduce individual acts.
- Mayor/Council: There shall be one speaker on behalf of the City of Summit Mayor/Council. Either the Mayor, Council President, or their designee shall speak to welcome the crowd.
- Guest Speakers: The advisory group may choose to suggest a guest speaker for any event. Guest speakers shall be limited to no more than five minutes in length. Guest speakers shall be approved by the CPPS Council Committee.
BUDGET:
- $2000 shall be taken from the Recreation Trust Fund for each event.
- The anticipated budget to be encumbered shall be the $2000 plus the previous year’s sponsorship amount.
